Before November Starts: Build a One-Page Team Plan in Ortigas

3 min read

November planning can start with a long list of good ideas. The harder part is agreeing on what your team can realistically finish, who will own it and what needs to wait. Before adding more meetings to the calendar, use one working session to put those choices on a single page.

This guide is for small business teams, project leads and office managers organising a monthly planning meeting in Ortigas. The goal is a usable plan for the coming month, rather than a slide deck that needs another meeting to explain.

Start with the work already promised

Ask each participant to bring their fixed deadlines, unfinished commitments and known constraints. Include routine work and approved time away when discussing capacity. A plan that treats every day as available project time is likely to need revision quickly.

Put these commitments in one shared view before proposing new work. If a date is still tentative, mark it that way. Where two priorities need the same person or input, resolve the conflict instead of giving both the same deadline.

Choose a few outcomes you can describe clearly

For a compact planning session, start with up to three outcomes. Treat that as a useful limit for discussion, not a rule that suits every business. Ask what should be observably different by the end of November.

“Improve our internal process” is difficult to act on. “Agree on one approval checklist and test it on the next internal request” gives the team something specific to complete and review. This is an illustrative example, not a claim about a Hangout client.

For each outcome, check that the people in the meeting have the authority and information to agree to it. If an approval is missing, record the approval as the next step rather than presenting the whole outcome as confirmed.

Copy this one-page planning template

Use the following fields in a shared document. Keep the commitments at the top, then repeat the outcome block for each priority.

  • Month and team: who the plan covers, plus the person maintaining the document.

  • Existing commitments: fixed deadlines, routine responsibilities and known limits on capacity.

  • Outcome: the change or deliverable the team intends to complete.

  • Done means: the evidence everyone will accept as completion.

  • Owner and first action: one accountable person and the next practical step.

  • Dependency or approval: what must happen first, who supplies it and whether it is confirmed.

  • Checkpoint: when the team will review progress and what information it will bring.

  • Deferred work: what is deliberately not included this month and when it will be reconsidered.

Keep the document readable without the meeting transcript. If an item needs several paragraphs of explanation, link to its working brief rather than crowding the one-page plan. Avoid adding personal or client information that the planning group does not need.

Test the plan before everyone leaves

Read each outcome aloud with its owner. Ask: Can the first action begin with the information we have? Is the same person overloaded across several priorities? What will we change if a dependency is delayed?

Decide which work will move or stop if a new urgent request arrives. A deferred-work list makes that trade-off visible. It also gives useful ideas a place to wait without turning all of them into promises.

Agree on a short first-week checkpoint. Use it to compare the plan with what actually happened and adjust responsibilities or scope where necessary. Keep one current version so different team members are not following different plans.

Bring the planning brief to your room enquiry

If your team needs to discuss priorities and edit the same plan together, ask The Hangout Coworking Space Ortigas about a suitable conference room. Send your preferred date, start and finish times, headcount and setup needs, including any presentation or remote-participation requirements.

For budgeting, our currently listed conference-room base rate is ₱1,000 for the first hour and ₱500 for each succeeding hour. The applicable rate can depend on your room, headcount and setup. Confirm the room, inclusions and total booking cost with the team before payment. A photo illustrates a room arrangement; it does not confirm availability or equipment for your session.
